How to set up an out of office reply

An out of office reply (sometimes called an autoresponder) automatically answers emails sent to your address, for example to let people know you’re on holiday and when you’ll be back.

Out of office replies are set up in your Enhance panel. They can’t currently be set up from webmail.

First, log in to your Enhance panel – see how to login to Enhance Panel. If you only have an email address and no panel login, ask whoever manages your hosting to do this for you.

Turn on an out of office reply

  1. Select Websites in the left side bar, then select the website your email address belongs to.
  2. Select Emails in the menu along the top. You’ll see a list of your email accounts.
  3. Open the menu (⋮) next to the email address and select Manage.
  4. Select Out of office in the menu on the left (or scroll down).
  1. Select Add.
  2. Choose the Start and end date. If you don’t know when you’ll be back, tick Send until I turn it off instead.
  3. Enter a Subject, for example Out of office.
  4. Enter your Message.
  5. Make sure Enabled is ticked, then select Add.

Writing a good out of office message

  • Say when you’ll be back.
  • Give an alternative contact for anything urgent, such as a colleague’s email address or your main phone number.
  • Keep it short, and avoid sharing more than you need to – for example, you don’t need to say you’re away from home.

For example:

Thank you for your email. I’m out of the office until Monday 6 October and will reply when I’m back. For anything urgent, please contact [email protected].

Turning it off

If you set an end date, your reply stops automatically. If you ticked Send until I turn it off, go back to Out of office for the email address and turn it off when you return.

Don’t forget to turn off an open-ended out of office reply when you’re back – otherwise everyone who emails you will keep being told you’re away.
