How to add an email signature in webmail

A signature is added to the end of every email you send, for example with your name, job title and phone number. In webmail, your signature and the name people see are set up in your identity.

A signature set in webmail only appears on emails sent from webmail. If you also use an email app on your phone or computer, set your signature in that app too.

Open your identity settings

  1. Log in to webmail – see where do I log into webmail.
  2. Select Settings in the left menu.
  3. Select Identities, then select your email address.

Fill in your details

  • Display Name – the name people see when you email them, for example Jane Smith or Smith & Co Accounts.
  • Reply-To – optional. If you’d like replies to go to a different address, enter it here.
  • Signature – type your signature in the box.

Select Save.

Signature options

To choose when your signature is added, go to Settings > Preferences > Composing Messages. Under Signature Options you can choose whether it’s added automatically, and whether it goes above or below the message you’re replying to.

If you’d like to use an image, such as your logo, set Compose HTML messages to always on the same page. You can then use the image button above the signature box.

Keep signatures short and avoid large images – they’re added to every email and can make messages look like spam to some filters.
